Guidelines for all Virtual Aero Club pilots

General Rules
VAC Callsigns

All flights flown under Virtual Aero Club must use your assigned VAC callsign. Your VFR and IFR callsigns are displayed on your dashboard and profile. Do not use another organization's callsign when representing VAC.

IVAO Flight Plan Remarks

When flying on IVAO, IVAOVA/VAC must be included in the remarks section of your flight plan. This ensures your flight is tracked and matched to your PIREP for auto-approval. Without this, your PIREP will require manual review.

PIREP Submission

All flights must be logged via a PIREP. Submit your report within 48 hours of completing your flight. PIREPs are reviewed by staff and approved hours count toward your rank progression.

VFR PIREP Auto-Approval

VFR PIREPs are automatically approved if your aircraft registration is included in the remarks section. If you own the aircraft in your VFR fleet, you must include its registration (e.g. G-ABCD) in the PIREP remarks for the flight to be auto-approved. Without it, your PIREP will require manual staff review.

Add TRAINING to the remarks for auto-approved training flights from any location using any aircraft. Add EVENT for auto-approved event flights. Neither update your aircraft's last known position on the system.

Respect & Conduct

Treat all pilots with respect. Harassment, discrimination, or disruptive behaviour will not be tolerated. Follow IVAO rules and regulations at all times.

Scheduled Flights

Scheduled IFR flights are auto-generated based on your preferences. Complete legs in order and file a PIREP for each. Pinned trips auto-unpin when all legs are completed.

Tours

Tours must be completed in the order specified. All legs must be flown and approved via PIREP before the ribbon is awarded. Pilot-created tours are available for 90 days.

Events

Pilot-created events are open to all members. Organizers are responsible for coordinating the flight. Attendees should file PIREPs for the event route.

Admin Decisions

Admin decisions on PIREP approvals, rejections, and rule enforcement are final. If you disagree with a decision, contact staff on Discord for clarification.
